1. Cancellation Before Program Start

If you decide to cancel before your program begins, an administrative fee will be charged to cover onboarding, preparation, and administrative costs:

• 3-Month Program ($900): $90 cancellation fee (10%)

• 6-Month Program ($1800): $180 cancellation fee (10%)

The remaining balance will be refunded within 7-10 business days.

2. Cancellation After Program Has Started

Within the First 2 Weeks

If you choose to cancel within the first two weeks of your program, a partial refund will be issued after deducting the following fees:

• 3-Month Program: $225 cancellation fee (25% of total program cost)

• 6-Month Program: $450 cancellation fee (25% of total program cost)

The remaining balance (after deducting completed session costs) will be refunded within 7-10 business days.

After 2 Weeks But Before Halfway Point

If you cancel after the first two weeks but before reaching the halfway point of your program, you are responsible for 50% of the remaining balance:

• 3-Month Program: 50% of the remaining balance due.

• 6-Month Program: 50% of the remaining balance due.

Refunds will be calculated after deducting the cost of completed sessions and will be refunded within 7-10 business days.

After the Halfway Point

• No refunds will be issued if the program is canceled after reaching the halfway mark.

• Clients may request a credit for future coaching sessions instead of forfeiting remaining sessions. These session must be used within two months from the cancellation date.

3. Missed or Last-Minute Session Cancellations

To ensure smooth scheduling and respect for both parties’ time, the following session cancellation policy applies:

• Cancellations with less than 24-hour notice: Full session fee will be charged.

• Cancellations with more than 24-hour notice: Clients may reschedule once per billing cycle without penalty.

• Missed sessions without notice: No refunds or rescheduling options will be provided.

4. Subscription & Monthly Billing Cancellations

For clients enrolled in monthly subscription coaching, cancellations must be requested at least 14 days before the next billing cycle to avoid being charged for the upcoming month. No refunds will be provided for the current month.

5. Exceptions & Special Considerations

Exceptions to this policy may be considered on a case-by-case basis in the event of medical emergencies or unforeseen circumstances. Requests for exceptions must be submitted in writing.

6. Agreement to Cancellation Terms

By enrolling in a health coaching program with Primal Roots Integrative Wellness, you acknowledge that you have read, understood, and agree to abide by this cancellation policy.
